Position Overview

Ultimate Staffing is actively seeking an experienced Senior Administrative Coordinator to join their client's team in California. This role is pivotal in ensuring the smooth operation of administrative processes and compliance with various state and local regulations. The successful candidate will be organized, detail-oriented, and capable of managing multiple tasks efficiently.

Responsibilities

  • Processing applications, handling various administrative duties, typing, data entry, document preparation, filing documents, and ensuring compliance.
  • Answering questions and providing information and assistance to staff and the general public, both in person and over the telephone.
  • Processing and updating license applications, issuance, renewals, and delinquencies.
  • Providing information on fees, processes, and regulations to applicants and staff in a courteous and professional manner; assisting applicants in completing forms and collecting fees.
  • Reviewing and updating electronic and paper files; assisting with document processing and research; organizing and maintaining various files
  • Completing forms and gathering and organizing appropriate data and/or documentation

Qualifications

  • Previous experience in an administrative role is highly preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both verbal and written.
  • Ability to handle sensitive information with discretion.
  • Proficiency in Microsoft Office Suite.
  • Must be bilingual/fluent in English and Spanish
